The Capacity Report is a core Parakeeto report that is part of the Optimize phase.

It allows you to visualize how much work and capacity is planned for a given period of time, broken down by Role or Task Category.

This report uses data from your Payroll Grid to model both Gross Capacity and Delivery Capacity and data from the Project Grid to model Planned Hours for a given period of time. Updates to either of these data sources should be reflected within a few moments on the ‘Capacity/Plan Graphs’ report.

Each graph in this report contains three important lines.

  1. The ‘Gross Capacity’ line represents the total capacity for your team in a given time period. Things like Time Off, Non-Delivery time, etc. are not deducted from Gross Capacity. It is derived from your Payroll Grid.
  2. The ‘Delivery Capacity’ line represents the amount of Delivery Time available for your team in a given time period. This only looks at the ‘Delivery Hours’ for the selected group, and does subtract out things like holidays, vacation time, PTO, etc. This line is meant to model the amount of time that is theoretically available for client delivery in a given time period. It is derived from your Payroll Grid.
  3. The ‘Planned Work’ line represents the amount of hours planned for client work for a given period of time. This is derived from your Project Grid, and is based on the number of hours estimated against each Task Category, and the timeline planned for each project in the Project Grid.

The Capacity/Plan Graph is broken down into three important visualizations:

  1. Overall Capacity: Which represents the capacity of everyone in your payroll grid who is active for a given period of time. Overall capacity is shown in both the ‘Role Capacity - Graphs’ and ‘Task Capacity - Graphs’ sheets.
  2. Role Capacity: Which breaks down capacity by ‘Role Category’
  3. Task Capacity: Which breaks down capacity by ‘Task Category’

Notes:

For some clients, Role Categories and Task Categories will have the same names and be aligned to one another. For other clients, Role and Task categories may have different names, and capacity from each Role Category may be split between various Task Categories. Because Task-Categories are related to projects and not people, the ‘Task Category - Graphs’ visualizations will not include a ‘Gross Capacity’ line.
